Position Summary:

Reporting to the Manager Internships and Student Affairs, the Internships Administrator is responsible for developing, implementing and overseeing all aspects of B.A.(Education), Major in Education in Global Contexts students’ internships as well as all related processes programs and special projects. ÌýThe Internships Administrator will also be responsible for the student affairs services for internship courses, including advising, student records, and registration. The Internships Administrator will establish and develop partnerships within various communities and/or organizations in order to provide quality, impactful and innovative internship opportunities to support to B.A.(Education) students.


Primary Responsibilities:

  • Develop and oversee theÌý Internship program for B.A. (Education), Education in Global Contexts program
  • Responsible for the building and development of partnerships with private sector, government and non-profit organizations with the aim of securing internship placementsÌýfor students of B.A.(Education), Major in Education in Global Contexts.
  • Assess the suitability of potential internships for B.A.(Education) students.
  • Implementing and overseeing moderately complex administrative procedures and systems in support of the internships operations (e.g. placement process, supervision assignments, student teaching management IT system, course creation, web and email communications).
  • Advise and mentor students on internship requirements, application process, selection, internship registration, deadlines, requirements, required evaluations. In collaboration with the B.A. (Education) Advisor validate if students completed the pre-requisites of the internships.
  • Ensure that the policies and procedures of the program are communicated to students, community partners, supervisors, internship host organizations/sites, and government parties receive proper information and direction.
  • ÌýEstablish and foster effective working relationships with host organizations/site administration by identifying needs and providing support. Liaise with government officials if required.
  • Ensure that student teaching internship practices are in compliance with ISA, University, and government directives and policies.
  • Meet with students to review their internship-related records and needs, including accommodation plans co-created with the Office for Students with Disabilities; provide personalized advising to students based on their specific contexts.
  • Address issues (incidents in the field, student behaviour issues, student performance issues ) raised students, supervisors, and internship host sites (e.g. incidents at internship).
  • Develop, oversee and organize internship-related events (pre-internship orientations)and trainings (New supervisor training, pre-internship supervisor briefings, online trainings for students)for students and supervisors.
  • Oversee the promotion and administration of internship-related student awards.
  • Compile internship-related statistics and data for inclusion in annual reports for Faculty and external reports , including official government reporting (placements completed in academic year sent to Ministère de l’Éducation) as well as conduct data analysis and creates reports as needed.
  • Acts as a key member of the Internship and Students Affairs Office team and collaborates with various Ã山ǿ¼é departments, Faculties and Units, as well as with external expert service providers.
  • Assess and resolve administrative problems related to internships and student affairs. When appropriate, inform supervisor and formulate recommendations.
  • When needed, provide support to Student Affairs Administrator and B.Ed. Internships Administrator in the management of their projects and functions.
  • Supervise and oversee the work of clerical staff, including casuals. Assist employees in their training and continued professional development.


Other Qualifying Skills and/or Abilities

  • Experience in internship programming with demonstrated ability to Ìýdevelop, implement, monitor and evaluate a strategic plan;
  • Self-starter with proven experience executing new projects under tight timelines without compromising quality assurance. Experience in a leadership and project management role is an asset
  • Master’s or Graduate Certificate Degree (Leadership/ Education/Management) and knowledge of undergraduate and graduate education is an asset.
  • Demonstrated organizational, communication, interpersonal skills, and leadership abilities. Proven ability to take initiative, work independently in problem solving and managing multiple projects. Sound judgment and an ability to perform well under pressure and to meet strict deadlines.
  • Excellent time-management skills with an ability to multitask and adjust to changing priorities;
  • Demonstrated experience liaising with multiple stakeholders with an ability to build and maintain effective partnerships with external organizations;
  • Demonstrated ability to work in a computerized environment using Microsoft Office suite(advanced Excel, PowerPoint, Outlook), Adobe and other software; knowledge of Ã山ǿ¼é’s Student Information System (Banner/Minerva) and Ã山ǿ¼é’s student teaching management system (STEPS) is an asset.
  • Knowledge of French and English. Ã山ǿ¼é is an English-language university where day to day duties may require English communication both verbally and in writing.
